Primary duties include coordinating the receipt of all stock donations given multiple broker liquidation requirements and IRS gift value regulations to assist in the liquidation of between $7 million and $11 million of stock gifts annually. Position also manages the corresponding accounting of all stock gifts and coordinates information with Development and Foundation personnel, as needed. Position will assist University Assistant Treasurer with various debt related duties issues as needed. Position will assist with records management and requests for payment, and various audit and reconciliation responsibilities.
Management of Stock Gifts in Support of VT:
Processes all Stock Gifts: Coordinates all restriction and donor information on stock gifts (totaling between $7 and $11 million annually) with Development Office personnel. Prepares journal entries subsequent to stock sale and follows through with appropriate documentation. Prepares deposit tickets, VTF batch information, maintains monthly spreadsheet for BNY Mellon Capital Markets stock. Maintains access database of all stock donor gift information and prepares a Completed Gift Summary Report. Coordinates with stock brokers regarding DTC of stock registered in street name, account numbers for the proper direction of stock gifts, determination of gift value date per IRS guidelines, and tracking of unknown gifts through various broker networks.
Scanning of stock Gifts: Scans all stock gifts to Sharepoint.
Audit and Reconciliation:
Assist as Needed with the Annual Audit of IDM Fixed Assets: Conducts physical audit of IDM fixed assets and reviews the fixed assets for IDM as shown on Banner for possible discrepancies.
Assist as Needed with the Annual Audit of Vintage Artwork: Conducts physical audit of three pieces of artwork displayed in IDM office.
Monthly Operating Budget Reconciliation and Audit of VTF and University Operating Funds of IDM: Performs reconciliation of operating budget by review of actual expenditures against Banner reports, and performs audit of all organizational funds reported on Snapshot by Org.
Monthly Operating Budget Reconciliation and Audit of Organization Funds of University Treasurer: Performs reconciliation of operating budget by review of actual expenditures against Banner reports, and performs audit of all organizational funds reported on Snapshot by Org.
Monthly Operating Budget Reconciliation and Audit of Organizational Funds of VTF Endowment and Travel: Performs reconciliation of travel expenditures and operating budget by review of actual expenditures against Banner reports, and performs audit of all organizational funds reported on Banner reports.
Debt Service Support: Process all debt service payments; assist with annual continuing disclosure requirements; process invoices for VPI and VTF; facilitate the annual Private Use Memo circulation. Process compliance certificates; and assist University Assistant Treasurer with other debt related duties and additional assignments as requested by the Administrative Assistant.
Records Management: Assists Receptionist in maintaining current file system and file retention, and processing all incoming and outgoing mail on a timely basis. Maintains a current listing of all current brokers and investment managers.
Customer Contact: Greets visitors, answers phone calls and emails, and provides all customer requested information on a timely basis and to the best of her ability. Maintains a pleasant, friendly atmosphere with contacts.
All other duties as assigned.
Associates degree required, Bachelors degree or equivalent experience in a business environment preferred. Excellent oral and written communications skills. Individual must have the ability to prioritize daily activities and be extremely organized. A thorough understanding of Windows and Microsoft Office applications are required.
